Run Your Whole Rowing Club In One Place
Boat booking, training sessions, attendance, crew lineups, member portal, regatta entries, and committee reporting in one platform. Built for clubs of every size: community clubs, university boat clubs, school programmes and masters squads. Replaces spreadsheets, WhatsApp polls, and the paper sign-out book in the boathouse.
Used by clubs in six countries. Live at Oundle Town Rowing Club on the Nene.
What is rowing club management software?
Rowing club management software runs a club's day to day operations: booking boats so two crews never claim the same eight, scheduling outings and ergs, taking attendance, building crew lineups and collecting subs. Row HQ does all of it in one place, and adapts to the country you row in, so a club records the membership numbers, safety checks and competition entries its own federation asks for. Free up to 20 active members. Live at Oundle Town Rowing Club since 2025.
Why rowing clubs need more than generic club software
Generic club software was not built with a coxswain on the dock at 6am. Rowing is unusual: most members train as crews, not solo, so attendance only matters when you can pair it to a boat and a seat. A booking conflict can take an entire eight off the water. Selection needs a lineup builder, not a calendar invite. The work that runs a rowing club - competition entries, safety checks, coxswain swaps, captain's notes - has no good fit in software designed for tennis or netball.
It is also a sport that changes shape by country. Affiliation numbers, swim and capsize requirements, race formats and even the words for the sides of the boat all differ, so software that hard-codes one country's rules stops being useful the moment a club sits outside it. Row HQ was designed around how a rowing club actually runs, and around the fact that no two national setups run it quite the same way. See the features in detail.
What actually goes wrong at a rowing club
None of this will be new to you if you help run one.
The Daily Reality
The Row HQ Solution
Sound familiar?
Built by a rowing club, not a software company
We run a club and we write software, which is an odd combination and the reason this exists. Every feature here started as something that annoyed us on a Tuesday morning. See what other clubs make of it.
Water time first
Time on the water is the point. Everything here is shaped around getting more of it.
Time in the boat
Over a decade of it, from novice eights through to masters squads.
Properly engineered
Written by working software engineers and maintained like real software.
We are users too
Our own club depends on this every week, so it has to hold up.
"We could never say who was turning up or which boats were spoken for. The spreadsheet had stopped coping, so we wrote something that did."
Everything it takes to run a rowing club
Outings and ergs, the boat rack, member records, racing and entries. One system in the browser, nothing to install. Have a look around.
Outings and Erg Sessions
Put the week up, see who is in, hand sessions to a coach. Members answer with one tap.
Boat Booking and Fleet
Availability everyone can see, clashes refused automatically, damage and maintenance logged against the hull.
Crew Selection
Build lineups by dragging seats, save the ones that work, check availability, give coaches their own access.
Racing and Entries
Entries, crew sheets, fees and eligibility checks handled in the same place as everything else.
Member Portal
Members keep their own details straight, find their squad, and check the seat they are sitting in.
Committee Reporting
Turnout, boat mileage and club activity over a season, in a shape you can take to a meeting.
Your Club Branding
Your colours, your crest, your own subdomain. Members see the club, not the software.
Announcements and Alerts
Reach the whole club or a single squad. A cancellation lands before anyone leaves the house.
Videos and Resources
Technique clips, safety procedure and club policy, kept where members will actually look.
Pricing
Monthly or annual, billed in your own currency. No contracts and no setup fee. See full pricing details.
Rowing club management software FAQs
Want more detail? There is a longer FAQ page.
It covers the work that is specific to running a rowing club: attendance for outings and ergs, boat booking that refuses a clash, crew lineups, a member portal, race entries and reporting for the committee. It differs from general club software because rowers train in crews rather than alone, one booking conflict costs eight people their session, and selection needs a seat-by-seat lineup builder rather than a calendar invite. Row HQ is built for clubs that have outgrown a shared spreadsheet and a group chat.
Yes. Each member record carries their membership category, their governing body number and the date it runs out, and anyone lapsed is flagged before a coach can put them in a boat. Row HQ does not sync automatically with a federation system, because almost no national body publishes an API that third-party software can use. Where that changes, we will add it.
Yes. Swim test and capsize drill dates sit on the member record with an expiry, and anyone out of date is highlighted before a coach can add them to a crew going onto open water.
Most clubs are running the same day. We do the data migration for you.
Send it over in whatever shape it is in. Spreadsheets, membership lists, a boat inventory in a notebook photo. We get it into the system for you.
Yes. Each squad can have its own schedule, its own permissions and its own access to the rack.
It checks the hull before it confirms anything. If a crew already has that boat, the booking will not go through.
Small clubs often get the most from it, because there are fewer volunteers to absorb the admin. At 20 or fewer active members it is free.
Email support answered by the people who build it, plus documentation and video walkthroughs. Same-day reply on working days.
Yes. It runs in any mobile browser and can be added to the home screen like an app.
TLS 1.3 in transit, AES-256 at rest, daily backups and role-based access, built to GDPR standards. Your data is never shared or sold.
